Overview

The Executive Assistant’s mission is to assist the executives, clients, and colleagues with high-level, polished administrative support pertaining to the day-to-day operations of Medifast, Inc.  Other attributes include accountability, responsibility, and professionalism which are solidly built on an ethical foundation of honesty, integrity, and confidentiality.

The role of an Executive Assistant is to ensure that their Executive can move through the day efficiently, productively, and effortlessly.  The Assistant acts as the Executive’s right-hand person and conducts themselves in a manner that is personable, helpful, and trustworthy.

Responsibilities

  • Manage a heavy, ever-changing calendar in Outlook and emails on Executive’s behalf.
  • Ensure that the Executive has all the necessary documents, handouts, presentations, etc. for all meetings.
  • Manage and maintain executive’s schedules, appointments and travel arrangements, including air, hotel, and car service (including international travel).
  • Act as the Executive’s representative at meetings, both internal and off-site.
  • Work on ad hoc, research based projects.
  • Record, transcribe and distribute minutes of meetings to attendees.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, assemble and analyze data to prepare reports and documents.
  • Arrange and coordinate meetings and events.
  • Monitor, respond to and distribute incoming communications.
  • Answer and manage incoming calls.
  • Receive and interact with incoming visitors and external clients.
  • Review operating practices and implement improvements where necessary.

Qualifications

  • Bachelor’s Degree or a combination of equivalent education and experience in an administrative environment.
  • Minimum of 10-12+ years experience in an administrative capacity with increasing responsibility assisting and/or supporting C-level executive and/or presidents for a minimum of 5-7 years.
  • Superior interpersonal skills including written and verbal communication.
  • Strong organizational skills with attention to details.
  • Ability to prioritize tasks and manage multiple tasks.
  • Proficient in Microsoft office suite applications.
  • Demonstrated ability to communicate effectively with tact and discretion.
